gmailIf you missed out last time, we covered ’5 Gmail tips you did not know‘ and here are a few more tips. Using these features, you can easily work on  most of the common tasks you perform on Gmail. Even users using Gmail since years do not know some of the important tips hidden in Gmail, some of them might be simple but effective while some of the tips are complex but useful.

6) Change, save or export Gmail Filters

You are using a Gmail account for number of years, now you want to open a new Gmail account to manage your Emails. However, you want all the settings and rules you have made to the older Gmail Account to your new Gmail account How do you do it? Here is the process.

  • In the older Gmail account make sure that Filter import and export is enabled to check it go to the Labs tab under settings option.
  • Click on the settings link on the top right hand corner in the Gmail browser
  • Click on the Filters Tab
  • Select all the rules that you want to save and export To select all the rules present click Select all present at the bottom
  • Click Export to Export the file.
  • Now Open the new Gmail account repeat first three steps
  • Click on the Import Filters to Import the files that you have exported from your older account
  • Now select the file that you have exported and click open
  • Select the filters you want to import
  • Click on Create filters to save changes to your new Gmail account.

 

7) Canned Response feature

In the busy life you cannot give immediate response to every mail that you receive in your inbox. For this purpose there is a feature in Gmail Labs by enabling this feature you can send auto response to select contacts or you can send specific response to the mails based on the keywords in the incoming mails. If you are out on a holiday trip then you can set auto response to the mails saying that you are out on a holiday trip and get back to them within few days such that they can know that you are sure to replay to them shortly. To use this feature first enable the canned response feature in the Gmail Labs and then you can set any of the mails or type something in the draft and set it as canned response by right clicking. You have many options to choose from so set it accordingly.

To enable canned response feature:

  • Click on the settings link on the top right hand corner in the Gmail browser
  • Go to the Labs tab in that enable the canned response feature
  • Click Save button to save your settings.
  • Then you have to create Filter such that when an email matches your criteria an auto response is send to it.

 

8 ) Search Autocomplete Feature

Like in the Google Search which has a search autocomplete feature where in it gives related topics as you type in the search box in Gmail also there is a feature like that. It helps you search the items quickly and help save you time, for example if you are looking for a particular contact in the address book you just type the name of the contact in the search box. As you are typing in the search box you can see suggestions from your contacts list such that you can select the contact from the drop down menu. You can also search from items in a particular place for example in the chats, drafts, contacts or in the sent items using this feature. You can even search for an attachment in the mails or find an email that is sent to you some months ago.

To activate the search autocomplete feature:

  • Click on the settings link on the top right hand corner in the Gmail browser
  • Go to the Labs tab in that enable the search autocomplete feature
  • Now type in the word that you want to find in the Gmail
  • If any of the word in the Gmail matches with the word that you are typing you can see them under the search box.

9) Forgotten attachment detector

Most of us have send some emails with attachments, but sometimes we actually forget to attach the attachment to the mail but we mention about the attachment inline of the mail and hit send button. By activating the forgotten attachment detector you can avoid this, whenever you mention about the attachment in the mail and did not attach the file a pop up will appear asking you do you want to send the mail without the attachment. This is a very useful tool to help you send perfect emails with attachments.

To enable this feature:

  • Click on the settings link on the top right hand corner in the Gmail browser
  • Go to the Labs tab in that enable the Forgotten attachment detector

Search autocomplete feature is my favorite and sometimes remind me of Google suggest which really saves my time.
